If you are a Network Edition user and often find yourself reconnecting your TimeClock clients to your TimeClock Server, this indicates that you need to set up a static IP address on your TimeClock Server computer. In this short blog, we'll take a look at why having a static IP is so important.What is an IP Address?If you’re unfamiliar with networking, think of an IP address like your house address. Your house address lets other people send you mail at a specific location. In the same way, an IP address lets other computers (TimeClock clients) find and communicate with your computer (TimeClock Server) at a specific network location.IP addresses can be dynamic or static. A static IP address, once assigned in the computer network settings, does not change. A dynamic IP address means that your router can periodically assign a new address to your computer. Some common instances where a dynamic address may be assigned include:you install new internet router or other network hardwarea power outage causes your computers to shut downyou restart your TimeClock Server computera new printer is added to the networkyour internet router is restartedSo Why Do My Clients Lose Connection Frequently?Many people don't realize that all of your TimeClock clients actively connect to your TimeClock Server for normal time clock activity. So if something happens with the computer where the TimeClock Server is installed, it will disrupt time clock use for all clients.When the TimeClock Server does not have a static IP, the address will change whenever the internet router reassigns IP addresses, leading to a loss of connection between the TimeClock Server and your TimeClock clients.To function properly, Virtual TimeClock requires the TimeClock Server computer to have a static IP address. Virtual TimeClock ‘10 is a computer-based time clock application that makes it easy for you to centralize your business’ time clock, gather and export time reports and send them to a payroll application. While Virtual TimeClock can be used on a single, centrally located computer, it works best when the time clock server runs on its own computer and you use TimeClock clients on individual desktop computers or at centralized time clock stations. The server setup process is simple. It took a matter of minutes to install the software, create my time clock database, and get the system up and running. The Virtual TimeClock server can be configured to automatically back up your employee database at regular intervals in a location of your choosing. The server application can also be secured with a password. Virtual TimeClock ’10 offers an easy way to clock employee’s work time. To add users you need to use the Virtual TimeClock Pro client, which you can either use on the server or install on any computer on your network. The client automatically locates your server if it’s on the local network or, if your server is on a different network, you can manually connect to the server by entering its IP address and the network port that the server is using. Once connected you can begin adding users to your database. Virtual TimeClock Pro offers two ways of adding users to your database: you can either enter each user manually, or you can import users from a CSV file. If you have more than a few employees the latter option is the better choice as importing data is orders of magnitude less frustrating than entering users manually. The data entry window includes six tabs (Personal, Access, Employment, Wages, Leave, and Notes) that, as you enter information into each tab and then move to the next, displays a save dialog asking if you want to save the changes you’ve made on the current tab. If you close this prompt and return to the program later, review the Adding Users article.Note: Free trials are limited to 300 time clock entries so we recommend limiting time clock use to 2 or 3 employees to get the most out of your trial.Step 2: Choose an InterfaceThe default time clock interface is the In & Out Board which displays a list of employees and their current status. If you do not want your employees to use the In & Out Board, review the TimeClock Interface Options article to find out more about the PIN, Passcode and Individual interfaces.Step 3: Assign PasswordsPasswords can be used to help prevent buddy punching on the time clock. PIN and Passcode interfaces require passwords, while passwords are optional on the In & Out Board. Select Turn Administration Off in the File menu to enter User Mode.
